Weโ€™re looking for a smart, organized, and multilingual Personal Assistant who can keep complex tasks running smoothly and confidential matters under control. From executive scheduling to partner communication, travel logistics to project follow-ups โ€” youโ€™ll be the trusted right hand supporting our leadership team.

Key Requirements

  1. Project Coordination Skills: Youโ€™ve supported fast-paced executives and know how to keep schedules, meetings, and deliverables moving across teams, departments, and borders.
  2. Bilingual Fluency: You speak and write fluently in both English and Chinese โ€” and can confidently translate, interpret, and draft communication between partners and leadership.
  3. Communication Pro: Youโ€™re clear, concise, and professional in every message โ€” whether itโ€™s drafting an email, joining a meeting, or handling a client request.
  4. Confidential & Reliable: You know how to handle sensitive information with total discretion and can be trusted with high-level business decisions and documents.
  5. Proactive Mindset: You anticipate needs before theyโ€™re asked and take initiative to solve problems before they grow.
  6. Tech-Savvy: Youโ€™re comfortable using productivity tools like Google Workspace, Notion, Slack, Zoom โ€” and quick to learn new systems.
  7. Location: Based in Dubai or willing to relocate.

Responsibilities

  • Support executive and project team with scheduling, meeting prep, follow-ups, and documentation.
  • Act as a liaison for Chinese and English-speaking partners, translating conversations and materials when needed.
  • Assist with project coordination and status tracking across multiple departments and time zones.
  • Assist with communication with vendors, partners, and clients on behalf of the executive team.
  • Help coordinate business travel, events, and special projects.
  • Maintain task lists, reminders, and follow-through to ensure nothing falls through the cracks.

Qualifications

  • Previous experience as a personal assistant, project coordinator, or executive support role is a plus.
  • Bachelorโ€™s degree in Business, Communications, or related field is preferred but not required.
  • Strong written and verbal communication skills in both English and Chinese.
  • Excellent attention to detail, with a calm and professional demeanor under pressure.
  • Strong organizational skills with the ability to multitask across shifting priorities.
  • Flexibility to travel as needed.
